Designing your own reports and documents

You can use Report Designer to amend the standard Sage 200 reports and documents (layouts, letters and labels) provided with Sage 200 or create new ones.

Open: Tools > Run Sage Report Designer .

Note: To access Report Designer , your user account must be a member of a role with access to Report Designer features. This is set in System Administration .

Make changes to the standard reports and documents.

Add or remove criteria.

Divide information into groups.

Sort the order that the information appears.

Filter the information that appears.

Change the styles that are applied, such as the font and size of the text and headings.

Saving reports and documents edited in Report Designer

Reports and documents are stored in three levels:

This for reports and documents that you have customised for a specific company. You should only use this if you have more than one company.

This is for report and documents that you have customised and are used by all your Sage 200 companies.

These are the standard report and document templates that we provided for you with Sage 200 .

When a report is run or document is printed, the company specific versions are checked first, then the custom versions and finally the default versions. The first version of the report or document located is used.

To make sure the new or edited report or document is run when the reporting or printing option is selected in Sage 200 , you must save any customised reports or documents to the custom or company folder, using the same folder structure and the same name as the default version.

Reports are stored in a folder structure based on the report type and module that the report is generated from.

For example: Sales Ledger reports are stored in the reports > sales folder, stock reports are stored in the reports > stock folder and so on.

Company specific reports are stored using this folder structure: company//reports/

Documents are stored in a folder for each document type. Layouts in the layouts folder, letters in the letters folder and labels in the labels folder. Letters and layouts can be saved with different names as you can use multiple versions of these.

  • Company specific documents are stored using this folder structure: company//document type>/ .
  • Custom documents are stored using this folder structure: custom// .
  • Default documents are stored using this folder structure: default// .

Reports and documents are stored on your PC in the Sage 200 installation folder.

For example, if Sage 200 is installed to C:Sage , then you would find your reports in C:Sagereporting :

  • An invoice layout specifically for the company Abbey Retail would be found in C:SagereportingcompanyAbbey Retaillayouts .
  • A custom invoice layout for all companies would be found in C:Sagereportingcustomlayouts .

Reports created off site or designed independently will need to be uploaded to your offline site using a different method.

You must create an sdbx package for each separate report/layout. To do this, please refer to this article or the Business Partner Tools relevant to your version.

Save company specific reports and documents
  1. Edit or create the report or document in Report Designer .
  2. Go to File > Save As .

Right-click on the Company folder and create the required folder structure:

  • For reports, create the following folders: //reports// .
  • For documents, create the following folders: //document type>/ .

Note: Folder names are always saved in lower case.

Save the report in the required folder with the same name.

Example

If you change the Purchase Ledger Day Book Report for a company called Demonstration , you must save it in the following location with the same report name:

company/demonstration/reports/purchase/ Purchase Ledger Day Book .Report .

To save a sales invoice layout for the Demodata company, save the layout in the following folder structure: /company/demodata/layouts/Sales Invoice.layout .

Save custom reports and documents
  1. Edit the report in Report Designer .
  2. Go to File > Save As .

Save the report with the same name and in the same folder structure as the default.

  • Reports are saved using custom/reports// .
  • Documents are saved using custom//

Reports that you have customised will need to be prepared and uploaded to your site. The reports must be added to a SBDX file which you can create using the Add-on Packager utility contained in the Business Partner Tools.

To do this, please refer to this article:

A local copy of the report is downloaded to the Temp folder on your local PC. The location of the Temp folder depends on your operating system. For most users this is C:/Users//AppData/Local/Temp . The local copies of your reports and documents are stored here: Temp/Sage200Spooler/Sage/Sage200/Sage/Reporting/ .

When you delete a report or document you must also delete the local copy.

Note: To see the local copies, you must turn Windows User Account Control off and choose to show hidden files and folders.

To delete a report or document:

  1. Open Report Designer .
  2. Select the Report or document from the File Explorer.
  3. Click from the File Explorer menu.
  4. Delete the local copy of the report.

To add a report to the menu as a new menu item, you must have access to the System Administration and the Menu Edit Mode in Sage 200 .

Note: You can’t add custom layouts, letters or labels as menu items.

Create a new feature and target for the report in System Administration.

Open: System Administration > Features

  1. Right-click the folder you want to add the report to and select Add new feature .
  2. Enter a Name for the new feature.
  3. In the Feature Properties section, select Targets and click Add .
  4. Enter a Name for the target.
  5. Select Report from the Target Type drop-down list.
  6. Click the browse button and select the report.
  7. Click Save .

Add the new feature to a role (or roles). This is to make sure the correct Sage 200 users can access the new report.

  1. Right-click the new feature and select Role Authorisation .
  2. Select the roles that will have access to the report.

Add a new menu item to the menu in Sage 200 and associate it with the target you have created.

Note: You must have Can Edit Menu selected on your user account in System Administration in order to add a menu item to the Sage 200 menu.

Open: Navigation Area , select the Menu View and click Edit Menu .

The Menu Edit Mode is opened and an Edit toolbar is available.

To add a menu item, click New and select New Menu Item .

  • An existing option from any of the Sage 200 modules.
  • An item, such as a workspace or report.
  • An item from a third party database that has a target set up in System Administration .
  1. Enter a Title for the new menu item.
  2. Select the Target from the available list.
    • Expand the folders to find what you want within them.

Select an icon already provided:

  1. Click Browse on the New Menu Item window to open the Select Icon window.
  2. Select an icon from those displayed.
  3. Click OK.

Select an icon of your own:

  1. Click Browse on the New Menu Item window to open the Select Icon window.
  2. Click Browse on the Select Icon window.
  3. Locate the file with your own icons.
  4. Click Open .

Note: You can replace standard reports in Manufacturing modules, using the Custom Layouts option in Manufacturing System Manager .

Sage Report Designer Tips – Getting Started

Sage Report Designer is a creative tool that compliments various Sage Suites such as Sage 50 and Sage 200. Comprehensive reporting is a high priority for many users of these Suites, and although the standard range of reports is impressive, there might come a time when you need more information.

New reports can be built with the Report Wizard feature and Sage release a new report each month too, but a solution can often be found by modifying existing reports. I’ll show you how to locate and add a new field onto a standard report in Sage 200 v2016 in such a way that will allow other users to benefit from the improvement.

Locate the report you wish to modify

Open Sage Report Designer, and use the File Explorer pane to locate the report you wish to modify, or select File > Open and navigate to the report file. The standard, or ‘default’ reports reside within the shared Sage folder in the Reporting > Default > Reports folder.

All of the reports in the Default folder are protected, allowing you to effectively ‘roll back’ to the standard report at any time in the future, but this does mean that you cannot save over these reports. As soon as you open the report you intend to modify, select File > Save As and you will be prompted to save the report into the Custom folder.

If you save the report in the Custom folder with the same name as the original default report, this new report will become the report that users access from their Sage 200 menu. However, if you wish to modify the report and make it available to yourself and others in addition to the original default, then the file name must be different, and it must then be added as a feature within the Sage 200 System Administrator, and also as a menu item within the desired Sage 200 Role. In this example, save the report in the Custom folder with the same name, and proceed to modify the new report.

Adding a Field to a Sage 200 report using Sage Report Designer

The fields, or variables, that are available to add to the report you’re modifying will depend upon the database tables that are currently ‘joined’ and this varies greatly between reports. You can make new tables available to the report in the Join Editor, by selecting Report > Joins and dragging tables from the database explorer and into the joins area.

The field that you wish to add to a report will often belong to a table that’s already joined. This is the first thing to check after opening and saving the report, and can be located by selecting View > Variables to open the field explorer. Drill into the tables to review the fields that are available and once you find the field you want, drag and drop it into the report.

Positioning the field so it sits in-line with the surrounding fields can be tricky, so Sage created a useful feature in the Report Designer to help you with this. First select the field you wish to align your new field with, then hold down Ctrl on your keyboard and select your new field. Select the Alignment button to produce a list of proposed alignments. In this instance I want to align Left.

Add a label by selecting Toolbox > Add Text, select Save and the modifications you’ve made to the report will appear on the report for all Sage 200 users that have access to it. There’s no need to access System Administrator or Sage 200 menu design mode. If you wish to roll back to the default report, rename the report file in the shared Sage custom reports folder to be different to the default report name.

With a little practice you too can make small improvements to your existing range of reports.
